Now hiring, Goodwill TalentBridge is seeking a professional, detail-oriented, and organized Executive Assistant to join our client’s team. In this contract-to-hire role, you will support the Executive Director and Board of Trustees in administration, daily communications, calendar management, meeting planning, agenda preparation, and travel coordination. In doing so, you will also serve as a liaison to the President, Officers, and Advisory Committee.
Key responsibilities include and are not limited to the following:
- Coordinate logistics for all off-site board meetings, annual meetings, conferences, and events (annual conferences, annual meetings, board meetings, luncheons, dinners, group meetings, staff recognition events, spouse events, annual sessions, and more)
- Develop and coordinate agendas/itineraries for meetings, conferences, and events
- Coordinate attendance for regional, state, allied, and international meetings
- Arrange travel (both domestically and internationally)
- Process expense forms
- Coordinate international meetings while acting as a liaison
- Coordinate invitations and manage VIP list for annual meetings and other events
- Handle logistics for annual meetings and events to include handouts, agendas, registration, awards, and special presentations
- Coordinate all activities related to awards while acting as a liaison to the Advisory Committee (includes ordering awards, rosters, and purchasing special gifts)
- Assist with other duties as assigned
Requirements:
Level of Experience Required
- Bachelor’s degree in relevant field or equivalent experience
- Previous experience in supporting executive level and senior level leadership teams within a nonprofit, association, or governance type environment
- Ability to set up and manage meetings and coordinate travel arrangement
- Proficiency with Microsoft Office 365
- Ability to foster strong relationships with internal members, team members, and external vendors
- Excellent verbal and written communication
- Strong organizational skills
- Ability to manage multiple tasks simultaneously
- High attention to detail
