Help the Des Plaines office run smoothly for guests and staff by tending to the physical and digital needs of the office!
Up to $21/hr. based on previous experience! Monday through Friday, 1st shift
RESPONSIBILITIES:
- Phone Management and Front Desk: Serve as the primary point of contact for incoming calls, providing courteous and professional assistance to clients, partners, and stakeholders / Greet clients and visitors with professionalism and hospitality.
- Marketing Support: Collaborate with the marketing team to assist in implementing marketing initiatives. This may involve coordinating events, managing social media accounts, updating the firm's website, preparing marketing materials, managing data in Hubspot/Constant Contact, and sending email campaigns.
- Calendaring & Travel: Maintain and organize calendars, including scheduling appointments, meetings, and travel arrangements.
- Help ensure the offices deadlines are met and hold associates accountable for time-management on projects.
- Liaise with vendors and service providers to ensure timely and efficient delivery of goods and services. Manage vendor contracts and agreements as necessary.
- Office Organization: Maintain a clean and organized office environment. Manage office supplies, equipment, and inventory levels, ensuring that resources are available when needed.
- Administrative Assistance: Provide general administrative support to the team, including data entry, document preparation, and email management for associates when they are out of office.
- Team Collaboration: Work closely with staff members to support their administrative needs. Foster a collaborative and positive working relationship across the firm.
- Data Management: Maintain accurate records, databases, and filing systems. Safeguard sensitive information and maintain confidentiality.
Requirements:
QUALIFICATIONS:
- 2+ years of experience in an office management or administrative role, must be legal background
- Time Management, Strong communication skills and flexibility.
- Strong organizational skills and attention to detail.
- Demonstrated ability to collaborate with coworkers and clients. ·
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Required: Proficiency in Microsoft Office Suite and comfort in learning new technology platforms. Experience in Microsoft Teams is a plus.
- Customer service-oriented mindset and a friendly demeanor.
- Familiarity with marketing concepts, social media platforms, and Hubspot is a plus.
